Does this need new software? Not necessarily.

Most people picture new software when they hear "AI agent" - another app to log into, another password to remember, another system fighting the ones you already use. Sometimes that's the right answer. More often, it isn't.

What actually happens depends entirely on what you're already running - and if you're running nothing at all, that's fine too.

If you already use something

1. It plugs in where it can. Most booking systems, CRMs, and calendars have an API - a safe, structured way for one piece of software to talk to another. Where that exists, this uses it instead of replacing anything.

2. Nothing gets migrated without you knowing. Your existing records stay exactly where they are. This reads and writes through the same door your software already has - not a new one bolted on the side.

3. You keep using what you already know. The agent works quietly behind your existing system. No retraining yourself on a new interface.

If you don't

4. It can stand alone. A simple system built just for this, sized to what you actually need - not a bloated platform with features you'll never touch.

5. Or it can be as simple as a message. If you run your diary on paper and WhatsApp, that might just mean a text: "Sarah wants Tuesday 4pm - shall I confirm?" You reply, you fill it in yourself, same as always. No new software, no login to remember.

6. I work to your workflow, not the other way round. A drafted list in an inbox, a message on your phone, a report waiting in a folder - whatever actually fits how you already work is the right answer. Simple first, more later if it's worth it, the same rule as everywhere else on this site.

Where your data actually goes

Whichever version fits, the same rules apply. Data is handled following GDPR guidelines, and compliance is checked as part of how anything's built - not bolted on afterwards as an afterthought. What that means in practice is specific to your business and your existing systems, and it's part of what the Working Diagnosis actually covers.
